How We Handle Large Orders: Capacity & Logistics

A source factory explains how it plans, builds, tests, and ships bulk stage lighting orders without drama.

When a distributor or rental company finally places a large order stage lighting package, the conversation usually shifts from “which fixture” to “can you actually deliver on time and without cutting corners?” That shift is normal. A single moving head is easy to love. Fifty cases of them is a different question. We at Guangzhou Yicheng Light Industry Limited (YC Light) have been answering that question since 2012 from our source factory in Baiyun District, Guangzhou. This is a practical look at how we handle bulk orders: what goes on inside our five workshops, how we steady quality at volume, and how we get the goods from our loading dock to yours.

What Makes Large Order Stage Lighting Different

Small orders have room for improvisation. A large order stage lighting shipment does not. When you order a few dozen fixtures, a small defect can be caught and replaced without much disruption. When you order across categories — beam and LED moving heads, par, strobe, effect, and a console to run it all — the margin for error disappears. We look at large orders as a system, not a pile of boxes. Every fixture needs to match its neighbour in colour temperature, dimming curve, and DMX response. If the 200th unit behaves differently from the 2nd, the whole rig has a problem.

That is why we treat capacity and consistency as the same conversation. You can have a factory with huge output, but if the solder joints vary between batches, the output is not worth much. Conversely, a workshop with perfect craftsmanship but a slow line will miss your event or installation deadline. Both sides have to be handled together.

Inside Our Five Workshops: Capacity With Consistency

Our production base runs on five workshops, each organised around a stage of the manufacturing process. The layout is not accidental. It lets us move a large order through a logical sequence rather than jumping between sub-contractors. That matters because we also offer OEM/ODM work — custom colours, alternative DMX protocols, branded packaging, and even new fixture designs. When a customer requests a variation, the change has to flow through the entire line without slowing down the standard products running alongside it.

The key production stations we rely on for high-volume work are:

  • SMT PCB lines for consistent, repeatable soldering on control boards. Hand-soldering is fine for prototypes, but a high-volume order needs the stability of machine placement.
  • Optical lens alignment benches, where beam and moving-head fixtures get their lens trains checked so the output is sharp and consistent across the batch.
  • DMX test equipment, so every unit is addressed, polled, and verified before it is packed rather than discovering a bad chip after arrival.
  • High-temperature aging chambers, because stage fixtures often spend hours under hot trusses. We run units at elevated temperatures to catch early failures before shipment.
  • IP waterproof testing for our outdoor IP65 range, which matters when the same large order includes both indoor and outdoor fixtures.

If you want to see the layout for yourself, the factory tour page shows how the workshops are arranged. A source factory is not mysterious once you see the flow.

Beyond the Factory: Logistics, Documentation, and Branches

Capacity is about more than manufacturing speed. It also means getting a high volume of goods out of the country without delays. We ship under FOB or EXW terms, which keeps the arrangement flexible depending on how your own freight forwarder works. Guangzhou is a major export hub, and our location in Baiyun District puts the workshop close to the port. We handle export documentation as part of the process, so you are not chasing paperwork while your cargo sits at the terminal.

Our logistics network also benefits from the two branches we opened to stay close to key regions: the Malaysia branch in 2015 for Southeast Asia and the Mexico branch in 2018 for the Americas. Those branches are not just sales offices. They support project coordination and after-sales communication in the relevant time zones. Ordering itself is handled by our Guangzhou team, who manage sales in English, Chinese, and Spanish. That language coverage matters when you are sending technical specifications and packing lists back and forth.

Checklist: Preparing a Multi-Category Bulk Order

Before you ask for a quote on a bulk order, run through this checklist with your team. It will save you at least one round of clarification emails.

  • Define the fixture mix: beam, spot, wash, par, strobe, effect, follow spot, console, or combined systems. We build in 13 product categories, so a mixed order is common.
  • Confirm DMX protocol needs: standard DMX512 is the baseline. If you need a custom protocol, specify it up front for your OEM/ODM discussion.
  • List environmental requirements: indoor, outdoor IP65, touring versus fixed installation. This determines whether IP waterproof testing applies.
  • Plan power and rigging: voltage preferences, cable runs, and truss layout affect how fixtures are configured at the factory.
  • Set packaging and branding: custom colours, branded packaging, and custom models are all possible. Tell us early.
  • Nominate payment channel: we accept T/T, L/C, PayPal, and Western Union in USD or EUR. Choose the one your finance team prefers.
  • Book your forwarder: for FOB, you control the overseas leg. For EXW, we make the goods available at our factory and you take it from there.

Mixed Orders and Project Contracting

A large order is rarely a single SKU. The most complex bulk requests we handle come from rental companies expanding their inventory and from contractors who have won an installation bid. In those cases, we go beyond delivering boxes. Our services include stage scheme design, effect rendering, bid design, installation and debugging, technical training, and project contracting. That means a large order can include the plan for where every fixture hangs and how it is patched before the gear arrives.

This is where our 153+ models across 13 categories become an advantage. Instead of sourcing beam fixtures from one factory and LED pars from another and hoping the colours match, you can consolidate. You can also review the full catalogue on our products page. Consolidation reduces freight complexity and gives you a single warranty contact. It also gives our engineers a full picture of the rig, so they can flag compatibility issues before the order is cut, not after.

Large Order Stage Lighting: Handling Payment and Revisions

Large orders bring administrative pressure as well as production pressure. Payment for bulk quantities moves through the same channels as smaller orders, but the amounts involved usually justify a bank transfer (T/T or L/C) rather than PayPal. L/C is common for buyers who want the security of a documentary credit. On our side, we have been an Alibaba Gold Supplier since 2008, which gives buyers a long public trading history to review before committing.

Revisions are another area where scale changes things. A change request on a 50-unit order is a minor inconvenience. On a 500-unit order, a late revision can ripple through SMT programming, lens stock, and packaging. That is why we push for full confirmation during the pre-production sample stage. Once the sample is signed off, the line runs. This discipline is what lets us keep a steady pace for multiple large orders from different clients in the same period. We have clients in more than 50 countries, and many reorder seasonally. The predictability of a fixed sample and a signed specification is what keeps those reorders running smoothly.

Frequently Asked Questions

What counts as a “large order” at YC Light?

We do not publish a fixed threshold, because it depends on the fixture type and the mix. A rental house may consider 30 moving heads a large order, while a distributor might think in terms of hundreds of pars. The important thing is that the quality gates stay the same regardless of size. Ask us for an indication based on the models you need.

Can you handle multi-category orders with custom branding?

Yes. OEM and ODM work is a core part of what we do, from custom colours and DMX protocols to branded packaging and new fixture designs. The pre-production sample exists specifically to lock down those custom details before the batch run.

How do you prevent quality drift between the first and last units in a batch?

The SMT lines and automated DMX test equipment reduce human variation. The high-temperature aging chambers then stress-test fixtures so that weak components fail at the factory rather than in your venue. Every shipment still gets a final inspection before it leaves, and the one-year warranty covers anything that slips through.

What support do you offer after the order ships?

The warranty is the baseline. For project-based orders, we provide installation and debugging support as well as technical training. Our Malaysia and Mexico branches also extend communication coverage into the Southeast Asian and American time zones, which shortens response time over the long haul.
